*Sorry for the delay in a final decision on where the Jan
12th meeting will be. Im in discussions with a number of hotels regarding
rooms and so forth. It's amazing how expensive things are now but
with the 3 clinics we are having I'm trying to get the best deal. Should
know any day but it is looking like ohare area will be cheapest and best.
*We are having a safety clinic on saturday Jan 12th 5pm,
instructor Darr Leutz dleutz@msn.com, a
scorers clinic Sunday Jan 13th 8am instructor Dave Clark clark.dave@comcast.net, and a

slowly turn this weekend into a nice get together in the off season.

12th & 13th in Bloomington, IL.
The safety clinic will run on Saturday from 8:00 a.m. - 3:00 p.m (times are tentative).
The judges/scorers clinic will run on Sunday (times to be announced).

Tournament Registration & Scoring Enhanced For 2004
The entire registration and scoring administration framework for American Water Ski Association tournaments has been improved this spring. This involves a number of important new features and capabilities.
* USA Water Ski now offers instant membership enrollment on the Web site. Therefore, it is strongly encouraged that membership enrollments and renewals be done online, before a tournament, instead of having the registrar handle this at a local competition.
* Registration management can now be done using Excel or any other spreadsheet utility, instead of paper forms or text files. This gives the registrar the ability to keep track of additional information about participants, and also provides the means to sort and print the participant list in various meaningful ways. And the resulting participant list can then be exported for the scorer, in a form that goes right into WSTIMS.
USA Water Ski now offers a tournament sponsor the means to download all members from a defined local area, in the form of a registration template (Excel spreadsheet). This extract will contain several pieces of key information, such as the new official membership numbers. It also will have age divisions calculated as of the proper ski year for the particular tournament you will run.
* So, folding in the fact that in 2004 all USA Water Ski members were assigned new membership numbers, this means that you should simply toss away any old WSTIMS "Entry List" files that you may have, and use the tools and capabilities described here as the framework for your registration and scoring preparations this year instead.
The features and tools outlined above will accomplish several things that will make the tournament preparation process easier and more accurate for both the Registrar and Scorer:
1. You'll have accurate membership numbers
2. You'll have accurate age division information
3. You won't have to key in all that information from your entries
4. You'll have accurate membership status in that template
5. All you have to add, is what group each participant will ski in
An added bonus to all of this is that this new framework will give you the power of Excel to help manage your registration processes; keep track of payments made and payment due; note other things of importance about the skiers and officials; and so on. And the good news for scorers is that the resulting completed spreadsheet can be extracted in a form that will go right into WSTIMS, making their job a whole lot easier too. The new WSTIMS version will ignore all of the member lines in that spreadsheet that haven't been indicated as participants, so keeping them all in the list even through Saturday morning doesn't hurt at all. You might have unexpected participants show up at the last minute, and this way you'll have their particulars already in the file. More details on exactly how this all works will be made available on the Web site, and also will be included with the new version of the WSTIMS scoring program that is about to go into distribution.
Please don't overlook the importance of the online membership enrollment and renewal capabilities available on the Web site. Indeed, you may have done your renewal this year that way, instead of by mail. This approach is becoming popular quite rapidly. Consequently, it is strongly recommended that new competitors be directed to the Web site to process their enrollment instead of doing so at a local tournament. Most importantly, new members enrolled online will then show up in the membership extract that the registrar will pull, including the official membership numbers. It is recommended that the registrar or sponsor pull their extract early in the week of their tournament so that the information they work with will be as fresh and complete as possible.
That extract will relieve the local tournament registrar of a lot of busy work and will give them eligibility information on the vast majority of their participants. Therefore, they won't need to verify membership status or check membership cards anymore on all the folks shown as "OK" in that spreadsheet. It's also worth noting that the spreadsheet also will include supporting members and un-renewed members from the previous season, so you will have the new membership numbers and other particulars on all those skiers, too. If any of these should show up, then you'll know exactly what they need to pay to upgrade or renew, so that they may participate in your competition. If you happen to have an Internet connection available, these last-minute enrollments and/or renewals could be done by the participant on the Web site, rather than by the registrar using paper forms and receipts and so forth.

On a sadder note...Pauline Koch, mother of Loren Koch, passed away (rather suddenly) on Friday, January 9th. She was well known and well-loved by many mid-western skiers. The wake will be Friday in Orland Park, IL at Sheehy's funeral home.
Also, maybe a reminder regarding the Wisconsin Think-Tank , March 5-7 in Oconomowoc, Wiscconsin for any Illinois skiers that may be interested in attending. Any thoughts on when we might want to have our winter officers' meeting?
